By James Watson

Computer applications have been used widely to manage various business operations. This includes both monetary and non-monetary activities which definite the success of a respective organization. One of the main tool widely used includes a business budget spreadsheet. It is applied while handling projection, variance analysis and updating of upcoming activities. This financial data is presented in a tabular form containing various cells. Each cell harbor different budget components like expenses, revenues, and variance. It is an analog form of paper accounting which escalates efficiency significantly.

When excel worksheets are modified then myriad of operations can be run. This involves the use of both numerical and analytical data to craft efficacious formulas. On running the program accurate output values will be displayed at the adjacent cells. They can then be confidently used in decision-making exercise. Organizations can then obtain an operational vantage which is key in a dynamic field. The users should then be exposed to such operations so as to tap the full potential of such resources.

The most financial information contained in budgetary documents are classified as confidential. Unauthorized access should then be prevented as it will lead to blatant misuse and manipulation of data at the expense of an organization. However, with a modern spreadsheet, this has been minimized as encryption features can be used. This then requires that password will be needed when access is desired. The financial expert should be cautious to ensure that robust storage options are used to attain intended security levels.

With advanced forms of spreadsheets, inbuilt features allow conversion. This includes morphing of texts, expressions, and numerics into a desirable state. This will then pave way for graphical representation which is key in statistical analysis. Financial performance can then be put in ratios, percentages, and fractions. These are key for comparison purposes like inter-period and inter-companies performance.

Many forms of spreadsheets exist at the disposal of budgeting professionals. They should then assess their needs well so as to select the appropriate tool. These sheets range from basic to superior forms due to constant upgrade. Examples include language for programming arrays at random, lotus and visicaic. When chosen appropriately then computational insufficiency will not be experienced.

Complexities are experienced by users of a spreadsheet. The reason for this is the lack of knowledge and exposure to the use of formulas. These Include both simple and complex formulas like if, sum and v look operations. To attain insight on the application then they should seek consultation from experts. They will then be guided appropriately then become adept in their tasks. This, however, requires payment of commensurate Consultancy fee which is agreeable beforehand. This is geared toward averting disputes which tend to rock service delivery.

When large organizations use a spreadsheet to handle budgeting then several problems will be faced. Some of the include lack of ownership and accountability the increased chance of misuse of resources.in addition, there is no single truth version which guides the overall process. Such impacts then translate to huge variation which is a precipice of weak controls. This is detrimental especially for a firm battling with competition.

A large proportion of time is used for merely maintaining a spreadsheet rather than main tasks. This makes planning and analysis shoddy due to limited concentration. The reason for this is detailed inputs which cause errors thus prompting corrections and extensive modification of models due to breaking. However such hazards can be offset when new versions are exploited.
